This page sets out the refund and cancellation policy for services provided by BitLegacy Solutions LLP ("BitLegacy", "we", "us", or "our"), together with important disclaimers regarding our Website and content. It should be read alongside our Terms & Conditions.
1. Nature of Our Services
BitLegacy provides custom, professional IT consultancy and software-development services. Because work is performed specifically for each client and resources are allocated and consumed as a project progresses, refunds are handled on the basis described below rather than as off-the-shelf product returns.
2. Deposits & Advance Payments
Many engagements require an advance payment or deposit to reserve capacity and begin work. Unless your statement of work states otherwise, advance payments are non-refundableonce project work has commenced, as they cover planning, scoping, and resource allocation.
3. Milestone-Based Projects
For projects billed in milestones, fees become payable as each milestone is delivered. If you cancel mid-project, you will be charged for all work completed and in progress up to the cancellation date. Any amount paid in advance for milestones not yet started may be eligible for a partial refund, less reasonable costs already incurred.
4. Eligibility for Refunds
You may be eligible for a refund where:
- we are unable to commence the agreed Services and no substantive work has been performed; or
- we materially fail to deliver an agreed milestone and are unable to remedy the failure within a reasonable period after written notice.
Refunds are not available where:
- work has been completed and delivered in accordance with the agreed scope;
- delays or issues arise from incomplete information, late feedback, or changes requested by you; or
- you change your mind after work has begun.
5. Requesting a Refund
To request a refund, email business@bitlegacy.orgwith your project details and the reason for the request. We will review eligible requests and respond within a reasonable time. Approved refunds are processed to the original payment method, and the time to reflect in your account depends on your bank or payment provider.
6. Third-Party & Pass-Through Costs
Fees paid to third parties on your behalf — such as domain registration, hosting, cloud infrastructure, paid licences, or subscriptions — are governed by those providers' policies and are generally non-refundable. Our own software products, such as BitLegacy Hotels, are subject to their own separate billing and refund terms.
